Terms & Conditions

The terms that govern how hospitality teams, property managers, hosts, and staff use Stayboard.

Acceptance of Terms

These Terms & Conditions govern your access to and use of Stayboard, including our website, applications, dashboards, APIs, workflows, communications, and related services. By creating an account, accessing the service, or using Stayboard on behalf of an organization, you agree to these terms.

If you use Stayboard for a company, property owner, hotel, management business, or other organization, you represent that you have authority to bind that organization to these terms. If you do not agree, you must not use the service.

Use of Service

Stayboard is designed to help hospitality operators manage bookings, occupancy, housekeeping, room turnover, guest workflows, task assignments, analytics, and team collaboration. You may use the service only for lawful business purposes and in accordance with these terms.

You are responsible for your use of Stayboard, including the data you enter, the integrations you connect, the workflows you configure, and the decisions you make based on information presented in the platform.

Accounts & Responsibilities

You must provide accurate account information and keep it current. You are responsible for safeguarding login credentials, maintaining the confidentiality of your account, and all activity that occurs under your workspace or user account.

You agree to notify us promptly if you suspect unauthorized access, credential compromise, improper team access, or any security issue affecting your Stayboard account.

Team Access & Permissions

Stayboard may allow you to invite administrators, staff, cleaners, contractors, owners, or other team members. You are responsible for assigning roles and permissions that are appropriate for each user’s duties.

Workspace owners and administrators are responsible for removing users who no longer require access and for ensuring that team members use Stayboard in accordance with applicable laws, employment obligations, guest privacy expectations, and internal policies.

Property & Booking Data

You retain ownership of property, booking, guest, housekeeping, staff, and operational data that you submit to Stayboard. You grant Stayboard the rights needed to host, process, transmit, display, analyze, and use that data to provide and improve the service.

You represent that you have the necessary rights, permissions, and lawful basis to upload or connect property, booking, guest, staff, and operational information to Stayboard. You are responsible for the accuracy, legality, and quality of that data.

Subscription & Billing

Certain Stayboard features may require a paid subscription. Subscription terms, pricing, usage limits, trial periods, renewal rules, taxes, and payment requirements will be presented during signup, checkout, or plan management.

Unless otherwise stated, subscriptions renew automatically until canceled. You are responsible for keeping payment information current. Fees are generally non-refundable except where required by law or expressly stated in an applicable plan or written agreement.

Restrictions

You may not misuse Stayboard, interfere with the service, attempt unauthorized access, reverse engineer the platform, bypass security controls, scrape or harvest data, transmit malware, overload infrastructure, or use the service to violate laws or third-party rights.

You may not use Stayboard to store or transmit highly sensitive information unless we have expressly agreed to support that use case in writing. You are responsible for avoiding unnecessary entry of sensitive personal, financial, health, or identity information into operational notes or workflows.

Service Availability

We work to provide a reliable, secure, and performant service, but Stayboard may be unavailable from time to time due to maintenance, updates, outages, third-party provider issues, security events, or circumstances beyond our control.

We may modify, suspend, or discontinue features when needed to improve the product, maintain security, comply with law, or operate the business. We will make reasonable efforts to avoid unnecessary disruption to active customers.

Intellectual Property

Stayboard and its software, design, branding, workflows, documentation, interfaces, graphics, and other materials are owned by Stayboard or its licensors and are protected by intellectual property laws.

These terms do not transfer ownership of Stayboard intellectual property to you. You may use the service only as permitted by these terms and any applicable subscription or written agreement.

Liability Limitations

Stayboard provides operational tools and information, but you remain responsible for business decisions, guest communications, staff coordination, property readiness, compliance, and safety procedures. The service is not a substitute for professional judgment or legally required operational controls.

To the maximum extent permitted by law, Stayboard will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost data, business interruption, or reputational harm arising from use of the service.

Termination

You may stop using Stayboard or cancel your subscription according to the plan and account settings available to you. We may suspend or terminate access if you violate these terms, fail to pay required fees, create security risk, misuse the service, or use Stayboard unlawfully.

After termination, your access to the service may end and certain data may be retained or deleted according to our Privacy Policy, legal obligations, backup practices, and legitimate business needs.

Changes to Terms

We may update these Terms & Conditions from time to time. When changes are material, we will take reasonable steps to notify users through the website, application, or account email.

Updated terms become effective when posted unless a later date is stated. Continued use of Stayboard after changes take effect means you accept the revised terms.
